View Full Version : Help they are charging us census for inactive girls

I have just checked my test invoice for my Guides and we are being charged for 6 girls who were made unactive back in October. For some strange reason they are still showing on the active list but when you go into the records they are inactive.

Any suggestions??

Sounds as if there is something still active against them - are the inactive both as members of the unit and as a member of guiding???

I know I have to inactive guiders in 2 different places.

I have the opposite! I have a couple of girls who are going up to Rangers this week but won't actually be 14 until February. I said I would leave them on the Guides list until their birthdays and pay census for them. I made them inactive with effect from their birthdays and they've already disappeared from my active list. Once they are inactive I can't get into their records to check except by reactivating them as Guides.

The test invoice isn't up to date, and could be from records from a while back

Smiley- are they definitely on your inactive list? I got caught out not realising there were 2 places on their record you had to make inactive- I had only done 1

check you have made them inactive in the TWO places you need to

against membership in guiding and also as role in your unit

Did you make their role inactive or their membership inactive.
If you are taking them off your records you need to make their role inactive and enter a valid to date.
If they are staying in guiding don't make their membership inactive, as this can cause problems later. If they are staying in guiding you can then pass their membership number to the next leader, so they can find them easily on GO.
I have updated my brownies records, and all I did was make their role inactive and they have been moved from my active brownies list to the inactive list, and when checking the report for the census they don't appear on it.
If I remember right, there was some guidance on this come with the latest guiding magazine.

Have a look at the "Unit Subscriptions Due" report (in Level Management) - my test invoice is incorrect, but the names shown in this report are right. I think this is because I have made the role inactive for some girls but haven't inactivated their membership, as they've just moved up to Guides but the Guide leader hasn't yet added them onto her unit.

However, they are now in the inactive list for my unit and I can't edit any of their details! Any suggestions? Will someone higher up than me be able to edit them?

I think you're ok if they're on the inactive list. Mine were still showing active until i did the second change

Can you access them if you type in their membership number? (just an idea - I haven't tried it). Otherwise try running the report I mentioned above and see if they're on that.

That's reminded me, I'd better check for both my units for the invoices. I know that the leaders may be wrong as there's been some changes and I've asked my DC to change the relevant people - deactiving/swapping them as needed. Will check tomorrow and then email my DC again if needed (which I probably will - or give the information to the CC to see if she can do it, as I'll see her after Brownies at the next meeting).

I made two girls inactive, but only in one place each. They are now showing as inactive, and are not in the list of girls to be charged for (once I'd done the big fight and very long wait with IE for it to all load...)

I think you are ok if you make them inactive on the role bit even if you don't make them inactive as members.

Thanks guys - it seems to be sorted now :)

Most of them didn't appear on the Subscriptions Due report (once it finally loaded - it took 3 computers!). One of them I got round by adding her to the waiting list again (searching by membership number as Loopy suggested) so I could then edit her overall membership status, then removing her from the waiting list. Phew!
